Rental rules, booking mode, fees and deposits for a vehicle
Configure minimum stay, instant vs request booking, deposits, fees, mileage and default times.
Open the vehicle and go to Rules & Policies. Click Update Rules & Policies to save.
Policies & documents
Choose which of your fleet documents renters must agree to before renting this vehicle. Click Manage Policies to edit the library.
Rental rules

| Preparation Time (hours) | Turnaround time needed after a booking. It’s shown as prep time on calendars. |
Policies
Smoking Allowed, Pets Allowed and Festivals & Events Allowed (for example Burning Man or tailgating). These show to renters under “Things you should know”.
Booking mode
- Instant: renters book and pay right away.
- Request: renters ask to book. Their payment is only authorized until you approve or decline. See Booking requests.
- Use category: follow the setting on the vehicle’s categories.
Fleetsync checks the vehicle first, then its categories. If neither sets a mode, the vehicle is Instant. Request mode only takes effect while Request to Book is enabled for your account.
Fees & deposits

| Included Mileage (miles/day) | Leave empty to charge no mileage. Enter 0 to charge for every mile. |
| Unlimited Mileage | Never charge mileage on this vehicle. The two settings above are ignored. |
Damage Waiver Insurance: if a renter buys an insurance option marked as a damage waiver, the security deposit is waived. Set this up in Insurance and protection plans.
Pick up & drop off times
Set the Default Pick Up Time and Default Drop Off Time. Renters see them on the listing and can request different times during booking. You can override them per reservation. See Handover.
Tax configuration
TIC Code: your TaxCloud Taxability Information Code. Leave it empty if you don’t use TaxCloud.
