Quotes are how you book phone, email and walk-in customers. When a customer accepts and pays a quote, it becomes a reservation.

1. Start the quote

Bookings → Quotes → New Quote. You can also use New quote on the Reservations page or New Quote on the Dashboard.

2. Customer

Pick an existing customer (search by name or email), or click New Customer to add one.

3. Rental details

  • Vehicle or Category: choose a specific vehicle, or a whole category such as “Motorhomes” if you’ll assign the exact unit later.
  • Pick-up and Return dates
  • Rental Type: Pick-up (the customer collects the vehicle) or Delivery. For delivery, the vehicle’s delivery pricing is shown (base fee, included miles, per-mile rate, maximum range). Choose a saved delivery location or a Custom Address.
  • Quote Valid For: how long the customer has to accept (7 days by default)
  • Notes: any special instructions

4. Extras

  • Add-ons: tick the extras to include. You can create a new add-on here with New Add-on.
  • Insurance Options: required coverage is added automatically. Tick any optional plans.
  • Custom Charges: Add Charge for a one-off item (for example “Firewood $20”). Choose whether it’s Taxable.

The Quote Summary on the right updates as you go, showing duration, dates, rental type and the full price breakdown.

5. Save or send

  • Save Draft: keep working on it later.
  • Send Quote: email it to the customer.

After sending

Open the quote to see its Quote Status Timeline, add Internal Notes & Comments (press Cmd/Ctrl + Enter to post), and view occupants and documents. If the customer has a saved card, you can take payment directly. See Take payment for a quote.
